The nine club board member responsibilities
The President shall be the principal Executive Officer of the BCCC and shall supervise and conduct all of its business and affairs. The President shall preside at all meetings and shall appoint all committees as appropriate. The President may sign any documents or instructions. The President shall perform all duties incident to the office of the President. The President is empowered to sign checks in the Treasurer’s absence and may provide for an annual audit of books by appointing a committee of two people from the general membership.
The Vice President shall, in the absence of the President, perform the duties of the President and shall have all the powers and be subject to all the restrictions upon the President, including signing any documents, with the exception of signing checks.
The Secretary shall keep a record of the minutes of Club meetings and of any meetings of the BOD. The minutes of each meeting are to be distributed to the BOD prior to being published in the next edition of the Club’s newsletter. The Secretary shall also be responsible for sending emails to the membership regarding Club news, information and announcements that may not be included in the newsletter.
The Treasurer shall keep all financial accounts of the Club; have custody of and be responsible for, all funds and securities of the BCCC. The Treasurer shall keep records of all payments to, and deposits by, the Club in such bank as the BOD may designate. The Treasurer shall pay bills as authorized by the BOD and shall give a report to the membership at least twice a year.
The Newsletter Editor shall be responsible for the Club’s newsletter; shall receive new membership data from the Membership Chair for publication in the newsletter. Newsletters shall be published and sent out to the members on a monthly basis.
Newsletter Editor details
Once a month, the Newsletter Editor will take input from the President, Vice President and other sources and put them into MS Publisher to create The Windscreen. The editor should also look for more input to the Windscreen, making sure that someone takes pictures at events and does a write-up on it, and looks for interesting articles to share with the club.
The Membership Chair shall be responsible for the collection of dues which shall be deposited of forwarded to the Treasurer for deposit and ensure that new membership data is forwarded to the Newsletter Editor and the Club Secretary. Membership Chair shall maintain the current Club roster.
Membership Chair details
When the club receives a new membership application, the Membership Chair sends the new member a welcome email. A specific file is downloaded from our website and the applicant’s information is copy and pasted into the Membership Excel spreadsheet. If the new member requested a club badge, the Membership Chair sends an email to Level 7 Concepts with the name and address of the new member so they can make and send them a badge.
The Events Chair shall coordinate and orchestrate the annual calendar of events for any social or motor events as desired by the Club. The Events Chair may form an Events Committee to assist with coordination of events; however, only the Events Chair will be a member of the BOD and only he/she shall report to the BOD. We encourage members of the club to suggest events.
The Regalia Chair shall be responsible maintaining an inventory of Club regalia and shall also be responsible for sales of said regalia and reporting sales to the club Treasurer. The setting of regalia prices shall be agreed upon by the BOD.
The Webmaster shall be responsible for maintaining and updating the Club’s website to reflect pertinent and timely news about BCCC events and matters relating to the BCCC in general.
